MDHS Privacy Collection Notice
Why we collect your personal information
The Faculty of Medicine, Dentistry and Health Sciences (MDHS) is collecting and processing your personal information to ensure professional standards are met, such as those outlined in the Student Conduct Policy (MPF1324), the Student Fitness to Practice Policy (MPF1345) and/or the Student Fitness to Study Policy (MPF1349).
How we process your personal information
The 'processing' of personal information refers to all activities relating to the management of your personal information, from its collection and use, through to its storage and disposal, and everything in between.
We will process your personal information as necessary for our legitimate interests, in accordance with applicable privacy laws, and only under the following circumstances:
- For the purpose for which it was collected; or
- If we are required or permitted to do so by law
- A related purpose which you might reasonably expect; or
- Where you have consented to the processing; or
Collecting information
We collect your personal information directly from you. We may also source information from our student database, if necessary.
In some instances, your personal information may be transferred outside of Victoria or Australia (for example, where providers are located internationally or use a cloud-based system with servers based in international jurisdictions). We take all reasonable steps to ensure that the interstate or overseas transfer of personal information is in accordance with our privacy obligations as outlined in the University’s General Privacy Statement.
Sharing information
We may share your personal information with University of Melbourne staff members who are involved in ensuring professional standards are met.
If applicable, we may share your personal information with:
- The Australian Health Practitioner Regulation Agency (AHPRA) if there is a reasonable belief that a student has an impairment that, when undertaking clinical training, may place the public at substantial risk of harm. In addition, we are required to share information relevant to your student registration, such as identification (including your unique student identifier), criminal record, and work history, in accordance with the AHRPA collection statement for the student register.
- Placement providers to reasonably assess the risk of a student with disclosable criminal history undertaking placement within the organisation.
- Placement providers to reasonably assess a student's suitability for clinical placement on the basis of their infection/immune/vaccination status or to investigate a case of infection transmission.
Records retention and disposal
Your information will be securely held and destroyed in compliance with the University Records Retention and Disposal Authority.

Your rights
You may request access to, or correction of, your personal information we hold, or exercise your individual rights as applicable under relevant privacy laws, unless this would have an unreasonable impact on the privacy of others or would contravene the University’s other legislative obligations.
If the lawful collection of your personal information is based on your consent, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of our processing of your information prior to you withdrawing your consent.
